Import Guide
Import your products and customers from CSV or Excel files.
Quotejam can import your existing product and customer data from CSV or Excel files. Most teams complete their initial import in under 30 minutes. Import is a Pro tier feature.
What You Can Import
- Products — Your entire catalog with specs and pricing
- Customers — Customer and contact information
Before You Start
Prepare your data:
- Export your data — Quotejam accepts
.csv,.xlsx, and.xlsfiles - Headers in row 1 — Column names like “Product Name”, “Price”, etc.
- Clean data — Remove blank rows, fix obvious errors
- No merged cells or formulas — Use plain values only
Importing Products
Step 1: Prepare Your File
Your file should include columns for:
| Column | Required | Example |
|---|---|---|
| Product Name | Yes | ”Split System 2.5kW” |
| Description | No | ”Wall-mounted inverter unit” |
| SKU/Model | No | ”MSZ-AP25VG” |
| Category | No | ”Air Conditioning” |
| Unit Price | Yes | 1299.00 |
| Unit | No | ”each” |
| Cost Price | No | 850.00 |
You can also include specification columns (e.g., “Capacity (kW)”, “Noise Level (dB)”). Quotejam detects these and lets you import them as product specifications.
Step 2: Upload
- Go to Settings → Import
- Select Products
- Click Choose File and select your file
Step 3: Map Columns
Quotejam auto-detects common column names. For each column:
- Matched — Green checkmark, correctly mapped
- Unmatched — Select the correct Quotejam field from the dropdown
- Skip — Ignore this column
Step 4: Review
Before importing, you’ll see:
- Number of products to be imported
- Any validation errors (missing required fields)
- Duplicate detection (matched by SKU or name)
Step 5: Import
Click Import to add the products. Duplicates are skipped automatically.
After import, you can undo the operation if needed — this removes the newly created records (unless they’ve already been used in quotes).
Importing Customers
Prepare Your File
Include columns for:
| Column | Required | Example |
|---|---|---|
| Company Name | Yes | ”ABC Building Supplies” |
| Contact Name | No | ”John Smith” |
| Yes | ”john@abc.com” | |
| Phone | No | ”+61 2 1234 5678” |
| Address | No | ”123 Main St, Sydney” |
Note: Email is required for customer import. Customers without an email address will be skipped, since email is needed to send quotes.
The Process
Same as products:
- Upload your file
- Map columns
- Review (duplicates matched by email)
- Import
Handling Categories
When importing products with a Category column, Quotejam can automatically create new categories for values that don’t already exist in your system.
After Import
Once import is complete:
- Review your data — Spot-check a few products or customers
- Add missing info — Fill in fields you didn’t import
- Organize categories — Adjust if auto-created categories need refinement
- Start quoting — Your catalog is ready
Troubleshooting
”File format not supported”
Quotejam accepts .csv, .xlsx, and .xls files. If you see this error, check that your file has one of these extensions and isn’t corrupted.
”Required field missing”
Check that Product Name and Unit Price (for products) or Company Name and Email (for customers) exist for every row.
”Invalid price format”
Remove currency symbols ($, €) and thousands separators. Use plain numbers: 1299.00 not $1,299.00.
”Duplicate detected”
Products are matched by SKU, customers by email. Duplicates are skipped during import.
Tips for Smooth Imports
- Start small — Test with 10-20 products first to verify your column mapping
- Keep your source file — For reference if questions arise
- Include specs — Specification columns are auto-detected and imported alongside products
