Managing Products

Your product catalog is the foundation of fast quoting. Once your products are set up, creating quotes becomes as simple as selecting items and quantities.

Adding Products

To add a new product:

1. Navigate to Products in the sidebar
2. Click Add Product
3. Fill in the product details:
   • Name: What you call this product
   • Description: Details that appear on quotes
   • SKU/Model: Product identifier (optional)
   • Unit Price: The standard selling price
   • Cost Price: Your cost, for margin calculations (optional, visible to Owner/Admin only)
   • Unit: How you sell it (each, per hour, per meter, etc.)
   • Category: Organize products by type
   • Image: Upload a product image (optional)
4. Click Save

Product Images

Each product can have an image uploaded, which is used in several places:

• Quote line items — Product thumbnails appear in the line items table when “Show Product Images” is enabled in your quote style settings.
• Spec sheet view — Images are displayed in the Product Catalog’s spec sheet view, giving customers a visual reference alongside technical details.
• Snapshot on quote — When a product is added to a quote, the image is captured as a snapshot. Changes to the catalog image afterwards won’t affect existing quotes.

Specifications

Products can have technical specifications (e.g., capacity, dimensions, noise level). Specifications are defined through Spec Templates — reusable templates that define which specs apply to each product category.

Specs appear on quotes when enabled, helping customers compare products and make informed decisions.

Organizing with Categories

As your catalog grows, categories keep things organized:

• Create categories like “HVAC”, “Electrical”, or “Plumbing”
• Assign colors for visual distinction
• Filter by category when adding items to quotes

Categories are managed in Settings → Categories.

Product Sets (Bundles)

Group products that are frequently sold together:

• Create named sets with multiple products and quantities
• Add an entire set to a quote in one click
• Optionally set a bundle price that overrides individual pricing
• Sets are available on all tiers

Importing Products

Have a large catalog? Import from CSV or Excel (.xlsx):

1. Go to Settings → Import → Products
2. Upload your CSV or Excel file
3. Map columns and review
4. Import

Updating Prices

When prices change:

1. Find the product in your catalog
2. Click to edit
3. Update the price
4. Save

Existing quotes won’t be affected — they keep the price from when the product was added to the quote (snapshot pricing).

Product Visibility

All team members can view the product catalog, but only Owner and Admin roles can create, edit, or discontinue products. Cost prices are only visible to Owner and Admin.

Tips for a Great Catalog

• Be consistent with naming — Makes searching easier
• Write clear descriptions — Customers see these on quotes
• Keep prices up to date — Avoid surprises when quoting
• Use categories — Even with 50+ products, you’ll find things quickly
• Add specifications — Professional quotes with technical details stand out
